Visit Notes Purposes.Visit Notes is intended for conducting the list of clients of the modern company. It allows to register time of arrival and leaving, requisites of the client, a photo of the client and the purpose of visit. Registration of client groups and the employee responsible for given visit is also possible.
Visit Notes 1.0 can be used as the elementary CRM in departments of sales and public relation, and as visits magazine by a protection service on security check gates.
Visit Notes StructureVisit Notes contains three basic modules:
The List of clientsThe List of clients is intended for conducting records about each client who visited the company or has shown interest to production of the company. For each visit the client or the group of clients gets out of the list of clients. It allows to reduce labour of the operator input in case of frequentness visits of the same clients to the company . The client card contains its name, a surname, whether is it the desirable or undesirable client, its photo, and as additional data. Each client can act in a role of the leader of group of clients. Then the card of the client-leader joins those clients who are included into group.
The List of employeesThe List of employees is intended for conducting records about employees of the company who bear the responsibility for work with clients. For each visit the responsible can be chosen. The employee responsible for visit, is appointed from the list of employees of the company. The employee card contains information about first and last name of the employee, its photo, and as additional data.
The List of visitsThe List of visits is intended for conducting records about concrete visits the company by clients. Each visit is put into the list of visits in the form of a visit card. The visit card includes the client responsible for visit, time of arrival and leaving of the client, whether has been given up in visit, brief data on visit and a photo of the client during visit.
The User InterfaceThe Main window of the program consists from four basic areas.
Working areaThe Working area borrows the basic area of the main window of the program. Appearance and purpose of working area depends on with what list work is conducted. The user operates work of the program with use of the menu and the panel of tools. The Menu and the tools panelThe Menu and the panel of tools in many respects duplicate functionality each other. Following groups of buttons are allocated for panels of tools.
The Mode of working areaThe Mode of working area chooses the list and its appearance. Probably four modes of viewing:
Viewing the list of visitsIn a mode of viewing the list of visits in working area of the program the table in which lines are the information on each visit, to the satisfying filter is displayed. In columns the following information contains: a first and last client name of the client, visit description, enter time, leave time, first and last employee name, operator name.
To limit number of the visits displayed in this table it is possible by means of filters.
Viewing of visit cardsIn a mode of viewing of visit cards in working area of the program the list consisting of cards of visits is displayed. In a card there is an information on visit. On it the surname of the client contains, first and last name of client, visit description, enter and leave time, operator name. To limit number of cards displayed in working area it is possible by means of filters.
Viewing the list of clientsIn a mode of viewing of the list of clients the working area of the program is divided on a vertical on two parts. In the left part there is a table with the list of clients. In a line of the table there is an information on the concrete client. The operator can choose from the list of one of clients. In the right part there is a card with the detailed information on the chosen client.
Viewing the list of employeesIn a mode of viewing of the list of employees the working area of the program is divided on a vertical on two parts. In the left part there is a table with the list of employees. The operator can choose from the list of one of employees. In this case in the right part the card with the detailed information on the chosen employee will be displayed.
CommandsThe Group of buttons of commands of the panel of tools is used for performance of following actions:
Commands "To create, "edit And "remove" act on records active at present the list. If at present the operator works with the list of visits it can create, edit or remove a visit card. If work is conducted in a mode of the list of clients probably to create new or to remove the existing client.
Creation of visitCreation of new visit is possible in modes of display of the table of visits or cards of visits by pressing button " Create ". After pressing this button the card of new visit opens. The operator fills fields of the client, the responsible, a brief information on visit, dates and time of arrival and leaving, if necessary establishes the status of refusal in visit and loads a photo of the client.
The Choice or creation of the clientThe Choice existing or creation of the new client is carried out from the dropping out list of clients.
In case the card of the client still is not present in base probably creation of the new client, pressing the button "new". If necessary to change data on already existing client probably to cause a window editing of the client by a choice of item of the menu "to change" from the contextual menu.
The Choice or creation of the employeeThe Choice existing or creation of the new employee is carried out from the dropping out list of employees. In case the card of the employee still is not present in base probably creation of the new employee, pressing the button "new". If necessary to change data on already existing employee, it is necessary to cause a window of editing of the employee by a choice of item of the menu "to change" from the contextual menu.
Creation of the clientCreation of the client is made with use of a card of the client. This card consists of several sheets. On the first leaf it is necessary to set a name, a surname, the description of the client and to establish its status "desirable" or "undesirable".
On the second leaf it is possible to load a photo of the client.
On the third leaf there is a list of the clients entering into group by which leader the current client is.
For addition of the new client in group it is necessary to press the button "to change and take advantage of a window of change of group.
Creation of the employeeCreation of the client is made with use of a card of the employee. In a card of the responsible it is necessary to set a name, a surname and the description.
Change of visitChange of visit is made through a visit card. To open existing visits for change it is possible in the next ways:

Removal of visitRemoval of visit is made from a mode of viewing of the list of visits by pressing the button "to remove" panels of tools or a choice of a command "to remove" from the contextual menu, or pressing of the button "to remove" in a visit card.
Removal of the clientRemoval of the client is made from a mode of viewing of the list of clients by pressing the button "to remove" panels of tools or a choice of a command "to remove" from the contextual menu.
Removal of the employeeRemoval of the employee is made from a mode of viewing of the list of employees by pressing the button "to remove" panels of tools or a choice of a command "to remove" from the contextual menu.
The Master of visit creationThe Master is used for step-by-step creation of visit. On a first step the choice or creation of the client is made, on the second step the choice or creation of the employee is made, on the third step filling the additional information on visit is made and on last step loading of a photo of the client is made.
FiltersThe Filter by date of allows to look through visits only for the chosen date. The Filter on the client allows to look through visits only the chosen client. The Filter on the employee allows to look through visits for which bears the responsibility the chosen employee.
The Sorting DirectionThe Direction of sorting changes by means of a clique a mousy on heading to a sorted column in the list or by a clique a mousy by corresponding button of sorting in the panel of tools.
Adjustments
RegistrationRegistration of the program is spent by its activation on the given copy of operational system.
Carry of a copy of the program on other operational system, or reinstallation of operational system entails necessity of repeated activation.
Not Activated program completely keeps all functionality, however periodically reminds of necessity of its registration.
